Is it really free?
Yes. BoardFlow is free for agents and property managers while it is in beta — send as many applications as you need, no credit card. We will give you plenty of notice by email before any paid plan starts. Your applicants never pay anything — automatic SSN redaction, e-sign and the AI document review are included for every application.
Does the building need to be on BoardFlow already?
No. When you start a deal you search for the building — and if it isn’t set up yet, you add or claim it on the spot with a standard NYC rental checklist you can tailor (required documents, months of bank statements, even the building’s own application form for electronic fill). The property manager or landlord gets pulled in automatically once your client submits.
What happens to my client’s sensitive documents?
They stay out of your inbox and locked down. SSNs and account numbers are redacted on upload and masked everywhere in the UI. Files are encrypted, stored privately, and only open through short-lived signed links for authorized reviewers — every access is logged, and everything is permanently deleted within 30 days of a decision.
Do my clients need to create an account?
They open the one secure link you send and are guided through each step — uploading documents, connecting statements, and e-signing. It’s built to be the easiest part of the deal for them, not another hurdle.
Can I bring other people onto a package?
Yes — that’s the point. From the package itself you add anyone by email: a co-agent, the landlord, the property manager, an attorney. Each person is a Viewer or an Editor, and separately you decide whether they can approve or deny. Editors can mark up the package and share it onward; Viewers can read it and download the watermarked PDF. Access is restricted to the exact addresses you name — there is no “anyone with the link” mode — and you can change or revoke it at any time.
Can two of us work on the same package at once?
Yes. Open the package and you can see who else is in it; their notes, highlights and redactions arrive as they save, on the page they belong to. Nobody overwrites anybody — the marks merge. Whoever records the decision first records it for everyone, and everyone with access sees it.
